What enterprise AI copilot development involves
The language model comes from a provider, and most of the engineering goes into retrieval, permissions, integrations and the evaluation set that proves the answers hold up.
- What is an enterprise AI copilot?
- An enterprise AI copilot is an AI assistant built into the software employees already use, such as Microsoft Teams, Slack or a CRM. It answers questions from company documents and systems, drafts replies and records, and carries out routine tasks, while following each user's access permissions and keeping an audit log of what it did.
Related: RAG development is the retrieval layer behind most copilots. The AI applications hub covers chatbots, fraud detection and recommendations.
Off-the-shelf copilot or a custom AI copilot
Many teams should start with the copilot that ships with their office suite. A custom AI copilot pays off when answers depend on your own systems, your own workflow or permission rules the packaged tool cannot see.
| Off-the-shelf copilot | Chatbot builder platform | Custom enterprise copilot | |
|---|---|---|---|
| Data it reads | Files and mail inside one vendor's suite | Documents you upload to the platform | Your documents plus ERP, CRM and internal databases |
| Actions it takes | Actions inside that suite | Limited to the platform's connectors | Calls your own APIs, with approval steps you define |
| Permissions | Follows the suite's own permissions | Usually one shared access level | Follows each user's rights in every source system |
| Where it lives | The vendor's apps | A widget or the vendor's app | Teams, Slack, your intranet, CRM or product |
| Pricing | Per-seat licence | Platform subscription | Build cost, then model and hosting costs |
When the copilot has to plug into SAP, Salesforce or Microsoft Dynamics, see AI integration services.
Internal AI copilots we build
Each copilot ships with retrieval over your sources, permission checks, an evaluation set from questions your staff ask, and usage analytics.
Knowledge copilot
The copilot answers questions on policies, procedures and product details from your wikis, drives and document stores, with a link to the source page.
Sales and CRM copilot
The copilot writes account summaries, call prep and follow-ups inside Salesforce, HubSpot or Microsoft Dynamics, and saves them to the record after review.
Support agent assist
Suggested replies and relevant help articles appear beside each ticket, so agents answer faster and stay consistent with policy.
HR and IT help desk copilot
The copilot answers leave, benefits, device and access questions, and hands off to a person when the request needs judgment.
Data and reporting copilot
The copilot turns plain-language questions into queries on approved tables and shows the query so analysts can check it.
Branded AI assistant in your product
We build a branded AI assistant into your own SaaS or portal that answers from each customer's own data only.
Task copilot
The copilot handles routine tasks such as creating a ticket, updating a record or drafting a purchase request, with an approval step before anything is saved.
Copilot discovery sprint
In 1 to 2 weeks we review the use case, sources, permissions and success measures, and finish with a build plan. The sprint is free.
Rollout and adoption support
Usage dashboards, feedback buttons on every answer and a monthly review of unanswered questions help fill content gaps.
Staff spending hours hunting for answers in shared drives
Bring the team, the questions they ask most and where the answers live. In 30 minutes the ScalaCode team will tell you what a copilot can cover and what the first step costs.
Four patterns behind a trustworthy custom AI copilot
Copilots lose staff trust when they guess or show the wrong person the wrong file, so these patterns go in from the first release.
Permission-aware retrieval
Each search runs with the user's own rights, so the copilot only reads the documents and records that person can already open.
Answers with citations
Every answer links to the passages it used. When nothing relevant is found, the copilot says so and suggests who to ask.
Actions behind approval
The copilot prepares the ticket, record or email, and the user confirms before it is saved in the source system.
Audit log for every turn
Questions, retrieved sources, answers and actions are logged with the user and time, ready for security and compliance review.

Talent Matched: AI inside the recruiter's own dashboard
Tallie, an AI agent, works inside the recruiter's ATS and the TM Discover search engine. Recruiters refine a role brief in conversation and see why each candidate ranks where they do. Tallie reads data only through MCP servers and runs on a private LLM.

How we build a custom AI copilot
A working copilot on a sample of your sources takes 3 to 4 weeks as a proof of concept. The production rollout with permissions, integrations and monitoring is planned from what that proof of concept shows.

One team, 14 years of shipping
projects shipped since 2012
AI systems running in production
clients across 45+ countries

Controls IT and security teams ask for
A copilot reads across many systems, so access control and logging are designed before the first source is indexed.
Access controls carry through
The copilot uses each person's existing permissions through single sign-on, and sensitive fields can be redacted before they reach the model.
Audit logs
Every question, source, answer and action is logged with the user and time, and can be exported to your security tools.
Model choice per policy
We use OpenAI, Anthropic Claude or Google Gemini through their APIs, or open-weight models such as Llama and Mistral on your own infrastructure.
Compliance in the scope
SOC 2, HIPAA and GDPR controls your business needs are written into the scope during discovery. Code and IP are yours from the first commit.
Where our copilots live and what they connect to
We build on the identity, collaboration and business systems you already run.
Where an internal AI copilot fits
Copilots pay back fastest where staff answer the same kinds of questions every day from a large body of documents.

Enterprise AI copilot FAQs
We will answer anything not covered here on the call.
How is a custom copilot different from Microsoft Copilot?
Microsoft Copilot works across Microsoft 365 files, mail and chats. A custom copilot reads from the systems you choose, including ERP, CRM and internal databases, follows the permission rules in each of them and takes actions through your own APIs. Many companies run both, using the custom copilot for one workflow that the packaged tool cannot reach. Our AI development services cover the rest of the stack around it.
Can the copilot respect our access permissions?
Yes. Each request runs with the user's identity from single sign-on, and search results are filtered by the rights that person already has in each source system. Sensitive fields can also be redacted before text reaches the model.
Which tools can the copilot live in?
An internal AI copilot can live in Microsoft Teams, Slack, a web intranet, a browser extension or inside your CRM or own product. It connects to SAP, Salesforce and Microsoft Dynamics through their published APIs, and to document stores such as SharePoint, Google Drive and Confluence.
How do you stop the copilot from making things up?
The copilot answers only from retrieved passages and cites them, and it says so when it finds nothing relevant. Before launch we score it on an evaluation set built from questions your staff ask, and after launch every answer can be rated so misses go into the next review.
How much does an enterprise copilot cost?
The discovery sprint is free and ends in a written proposal with a fixed quote. A proof of concept starts at $4,999, and a production retrieval system starts at $14,999. The final quote follows discovery, because the number of sources, integrations and actions sets it.
How long does it take to roll out?
A proof of concept for one team takes 3 to 4 weeks. The production rollout with permissions, integrations and a pilot group is scheduled in writing after that, and further departments are added one at a time. AI coding agents help our engineers build it faster.
Can we build a branded AI assistant for our customers?
Yes. A branded AI assistant inside your product or portal uses the same retrieval and permission design, scoped so each customer sees answers from their own data only. Human handoff to your support team is built in where judgment matters. To build and run it in-house, you can hire chatbot developers.
Who owns the copilot and its data?
You do. Code, prompts, evaluation sets and indexes are yours from the first commit, NDAs are standard, and we work in your GitHub or GitLab, CI and project tracker.
One team, matched to your working hours
We schedule 4 to 6 hours of daily overlap with US time and a full working day with the UK and Europe, so reviews, demos and fixes happen during your working hours.
They understood the business side of our requirements and often brought up solutions or ideas we hadn't considered.
